Personal data we collect
When you contact us, we process the information you provide, such as your name, business email address, company, role, telephone number and the contents of your message.
Our hosting infrastructure is provided by OVH SAS, based in France, and also processes technical information, including IP addresses, request timestamps and server logs, to operate and protect the website.
We do not currently use any additional data collection tools, such as appointment booking, analytics or tracking services. Our contact form sends its content directly by email, with no third-party service involved.
How and why we use your data
We use business contact information to respond to enquiries and discuss our services. This processing is based on our legitimate interest in handling business enquiries or, where applicable, taking steps at your request before entering into a contract with you.
We process technical logs to maintain website availability and security, based on our legitimate interest in operating a reliable and secure website.
This website does not currently support newsletter sign-up or prospecting features; such activities are managed separately, outside this website.
Who receives your data
Personal data is accessible to authorised personnel who need it for the purposes described above, and to service providers supporting those activities.
These providers include OVH SAS, our website host, and Microsoft, as provider of our Microsoft 365 business email service
We may also disclose information where required by law.
International transfers
Our website host, OVH SAS, is based in France and does not transfer personal data outside the European Economic Area. Our business email is hosted by Microsoft under Microsoft 365, which operates within the EU Data Boundary: customer data for these services is stored and processed within the European Union and the European Free Trade Association. In limited circumstances, such as a coordinated response to a security incident, data may exceptionally be transferred outside this area under appropriate safeguards, including the EU-U.S. Data Privacy Framework.
How long we keep your data
We retain personal data for the periods applicable to each purpose:
- Business enquiries: 3 years from the last contact.
- Prospect contact records: not applicable to this website.
- Technical and security logs: 6 to 12 months.
- Records required for legal obligations or legal claims: commercial and accounting records are kept for 10 years, in accordance with French law.
We delete or anonymise data when it is no longer required for these purposes.
Cookies and similar technologies
This website does not use analytics, advertising or tracking cookies. It only uses cookies that are strictly necessary for its technical operation, if any, which do not require your prior consent under applicable law.
Your rights
Subject to the conditions of applicable data protection law, you may request access to, correction or deletion of your personal data, restriction of processing, and data portability. You may also object to processing based on legitimate interests, including an unconditional right to object to direct marketing.
Where processing relies on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing.
To exercise your rights, contact privacy@milesdistribution.com. We normally respond within one month. Where permitted by law, this period may be extended by up to two further months; we will explain the reason within the first month.
You may lodge a complaint with the French data protection authority, the CNIL, at https://www.cnil.fr, or with another competent supervisory authority.
